ABOUT US

The Cicero Institute is seeking an experienced and dynamic Events Director to lead the planning, coordination, and execution of large-scale and multi-event projects. The ideal candidate will possess exceptional project management skills, a proven track record in managing complex events, and the ability to provide cross-departmental support to align events with organizational goals. This role is critical to the success of our mission and requires a collaborative, detail-oriented, and strategic leader.

OVERVIEW

The ideal candidate will have 5-7 years of experience managing events in a commercial, non-profit, or campaign environment. They will report to the Senior Advisor and will work closely with the entire team.

KEY RESPONSIBILITIES

  • Event Planning and Management:
    • Design, develop, and execute a wide range of events, including fundraising dinners, salon dinners, networking events, and much more.
    • Oversee multiple events simultaneously, ensuring timelines, budgets, and quality standards are met.
    • Manage all aspects of event logistics, including venue selection, vendor negotiations, permits, and risk management.
  • Project Management:
    • Develop detailed project plans for each event, including milestones, deliverables, and resource allocation.
    • Lead cross-functional teams to ensure successful event execution, coordinating with communications, network engagement, advocacy, and policy departments.
    • Monitor and report on event progress, identifying and mitigating risks proactively.
  • Team Leadership:
    • Supervise event staff and contractors.
    • Provide clear direction and support to ensure team alignment with organizational goals.
  • Budget and Financial Oversight:
    • In partnership with Operations team, develop and manage event budgets, ensuring cost-effective strategies and adherence to financial guidelines.
    • Work closely with the operations team to track expenses, process payments, and generate financial reports for events.
  • Cross-Departmental Collaboration:
    • Partner with the Network Engagement team to integrate outreach and fundraising objectives into event planning.
    • Collaborate with the Communications team to create and implement promotional strategies.
    • Provide logistical and strategic support to other departments for internal and external initiatives.
  • Stakeholder Engagement:
    • Build and maintain strong relationships with sponsors, donors, and community partners.
    • Act as the primary point of contact for event-related inquiries, ensuring exceptional customer service.
    • Represent the Institute at events and in the community, serving as an ambassador for our mission.

Qualifications

  • Minimum of 5-7 years of experience managing large-scale events and multiple concurrent events.
  • Proven experience in project management, with a strong ability to prioritize tasks and manage competing deadlines.
  • Excellent analytical, organizational, and communication skills.
  • Ability to work collaboratively in a mission-driven, fast-paced, multi-entity organization.
